Who we are
Alphovia ("we") is an AI automation agency. This policy covers our website at alphovia.com, our booking system, and our AI assistant ("Momo") on our website chat and, where connected, on messaging platforms such as Facebook Messenger and Instagram.
What we collect
- Booking details you provide: name, email address, company name, timezone, and what you tell us about your project — used to schedule and prepare for your call.
- Conversation content: messages you send to our AI assistant on our website or messaging channels, used to answer you and, if you ask, to book a meeting.
- Basic technical data: standard server logs (IP address, request time) used for security and rate limiting.
- First-party visitor analytics: a random browser identifier stored on your device, visited page paths, visit times, referring website, campaign tags, browser, device type, language, and browser timezone. We count successful website chat exchanges without storing their content in analytics. If you complete a website booking, the name, email, and company you submit can be associated with your visits in our private dashboard.
We do not sell personal information, and we do not use advertising trackers on this site.
Visitor analytics stay on Alphovia's server and are retained for up to 90 days. We do not store full IP addresses or full page query strings in this analytics database, and we do not send visitor data to a third-party location service. Browser timezone is not a verified location. We respect browser Do Not Track and Global Privacy Control signals.
How AI processing works
Messages sent to our assistant are processed by third-party AI providers (such as OpenAI) to generate replies. Conversation content is transmitted to those providers for that purpose only. Do not share sensitive information (passwords, payment card numbers, health details) in chat — the assistant will never ask for them.
Mina client connections
Mina’s optional GHL connection accepts a Private Integration Token through secure entry in the chat box after you authorize read-only contact access. Tokens are stored encrypted in a separate client workspace, not in the chat transcript or AI prompt. The token is sent to GHL to authenticate the approved contact search. The saved task retrieves the latest contact when requested; it does not edit contacts or send messages.
Connect a system uses the app name you give Mina to look up public provider documentation. For non-Google services, the app name and a fixed documentation query are sent to Firecrawl search; your task description, email, chat history and connection credentials are not included in that search. Google services can be found through Google's public API catalogue. Mina generates secure fields only from supported API descriptions. You review the source and destination before authorizing a connection test. Keys and connection parameters are stored encrypted in your session-bound workspace and sent only to the displayed API destination when testing or running your task. Keys are not sent to the AI model. Query-based API keys may appear in the provider’s own server logs; use a restricted read-only key. Returned data is limited and obvious credential fields are redacted, but it may still contain personal information. Results are saved in this browser session’s chat history, outside the model prompt. Disconnect removes the saved connection and cached result, not earlier chat messages or consent records.
For supported OAuth connections, you may supply your own application’s Client ID and client secret through secure entry. Mina stores them encrypted, directs you to the displayed provider for approval, and exchanges the returned authorization code only with the documented token endpoint. Access and refresh tokens remain encrypted in the connection service and are never included in the AI prompt. A temporary, secure HttpOnly approval cookie expires after ten minutes and binds the callback to the initiating browser session. No connection or task becomes active until the approved read request succeeds. Disconnect removes Mina’s stored tokens; revoke the application’s access with the provider if you also wish to end the provider-side grant.
Returned contact details appear in your browser conversation and are saved in the transcript for your use and support by Gab. The connection service stores an encrypted latest result and task record. These direct connection results are excluded from the model’s conversation history. Your typed name and email alone do not grant access to a saved connection in another browser.
You can disconnect GHL in Mina to remove the active saved token and encrypted latest result; existing chat messages and consent receipts remain. You can also revoke the token in GHL. Trial expiry blocks further account reads but does not itself delete these records. Contact us to request deletion of retained records.
Calendar and meeting data
When you book a call, we create a Google Calendar event with the details you provided and send you an invitation by email. If you correct or cancel a booking through the assistant, the event is updated or removed and attendees are notified.
Messaging platforms
If you message us on Facebook Messenger or Instagram, we receive your message and public profile identifiers from Meta in order to reply. Meta's own data practices are governed by Meta's privacy policy. We do not post on your behalf and we do not access your friends, followers, or other account data.
Retention
Booking records live in our calendar for business record-keeping. Chat conversations on messaging platforms are retained only as needed to keep conversational context and for service quality. Usage metering stores counts and token totals, not message content.
Your rights
You can ask us to access, correct, or delete the personal information we hold about you. We honour deletion requests for chat and booking data, and we will not treat you differently for exercising these rights. The categories of information we collect are listed above. To make a request, email us and we will respond within 30 days.
